Dues Payment Options

It is that time of year again, no not the holidays, but billing season. For the convenience of our William Douglas Management homeowners we offer many different payment options. Each option is described briefly below. With the exception of the printed coupon booklets, registration for all of the options listed below can be found on the William Douglas Management website. Look for more detailed descriptions of each feature in future newsletter editions.

 ACH- This payment option is sometimes referred to as the auto-draft program. Auto-draft is an automated process that electronically drafts funds from an owner’s checking account on a specific date each month. Currently the auto-draft is processed on the 10th of each month. It is necessary to register for this program in advance. Only monthly billed association homeowners can register for this option. Completed ACH forms should be sent to the William Douglas Management’s corporate office. A voided check must accompany the ACH form. ACH can only draft the regular monthly amount of dues or less (if an account has a credit). ACH cannot draft past due payments of any amount. **ACH is not available for accounts on any type of payment plan or in any type of collection status. **

ESTATEMENTS – Estatements are a paperless option offered by William Douglas Management. It utilizes a homeowner’s email address to transmit an email with a statement attachment on the first business day of each month. Estatements replace the printed coupons billing method. Estatements include the owner’s current month’s balance and one upcoming month’s billing in a statement format. Owners need to register for this service by the end of each month. Estatements are available to ALL billing schedules and to owners on payment plans or notarized payment plans. Homeowners on Estatement billing are not eligible for the above mentioned ACH program. **Estatements are not available for accounts in collection status. **

ECHECK (Website Option) – Echecks are an electronic paperless payment option offered to owners registered on the William Douglas Management website. Homeowners sign up for this option by registering their account with their email address via the William Douglas website. Once their registration has been approved, owners can use the echeck (electronic check) to make a one-time payment or to schedule future payments as needed. Homeowners can choose any date and can edit the amount as needed anytime they access the William Douglas Management website. This option is available to all owners regardless of their association’s billing schedule. Owners can view account histories and many other helpful features via the William Douglas Management website. **Accounts in a blocked or collection status are NOT eligible for registration on the website. **

CREDIT CARDS (Website Option) – Credit cards are a second paperless option that is available to homeowners in much the same manner as the echeck option. The William Douglas Management website accepts VISA, MasterCard, Discover and American Express. Note: the credit card companies will charge an additional fee of up to 3.25- 3.5% per transaction for use of the credit card payment option. This fee is not collected or charged by William Douglas Management or any of the associations that we manage.

COUPON BOOKLETS – Printed coupon booklets are the standard billing method used by our management company. This billing method can be used by all associations regardless of their billing schedule; monthly, quarterly, semi-annually or annually. Coupon booklets offer homeowners the convenience of being able to send payment via US mail to the William Douglas Management lockbox. All association dues are due on the first of each billing month. It is recommended that homeowners allow 7-10 business days for checks written and sent with printed coupons to travel through the US mail system to our bank processing center at PO Box 1208 Commerce, GA 30529
